SUMMARY: Provides support to the veterinary staff by performing the following duties.
ESSENTIAL DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned.
1) Maintains medical records. Input of laboratory results, specialist reports, anesthesia records, controlled drug and clinical notes into ZIMS medical records system. Download and save all lab results, image studies, and histopathology reports
2) Prepares health certificates and helps coordinate animal dispositions.
3) Maintain animal database for contraception.
4) Prepares data sets for Medical Director and animal health team to facilitate evaluation of health related programs.
5) Assists with scheduling routine medical procedures and meetings.
6) Process all new inventories of controlled drugs and maintains controlled drug log (including annual use tracking).
7) Oversight and ordering of inventory and equipment for animal health team.
8) Oversight of in-house frozen and fixed tissue sample banks.
9) Prepare and distribute animal health Daily Activity Report and staff meeting minutes.
10) Perform general office duties including answering phones, creating correspondence, filing, postage and mailings, and scheduling courier pickups. Maintain hardware and software, and coordinate computer and phone maintenance. Maintain office and courier supplies and refresh all hospital forms as needed.
11) Assist Medical Director with personnel duties, including coordinating time off requests, scheduling employee coverage for vacations, holidays, and sick time, Shares animal health schedule with other departments.
12) Perform accounting functions, including receiving and researching all invoices and statements for approval, handling all Animal Health credit concerns and relations, and monitoring all account balances and assisting in the annual budget process.
13) Coordinate volunteer, veterinary student and veterinary technician student extern programs, including correspondence and scheduling.
14) Coordinates and manages hospital safety program and is a member of the zoo’s Safety committee.
15) Manages hospital regulatory permits and reports, including but not limited to, annual incinerator permit, radiology dosimeters and equipment inspections.
16) Coordinates and manages hospital maintenance requests and work orders
17) Assist Medical Director in tracking and reporting hospital performance metrics.
18) Interface with curatorial and keeper staff to maintain enrichment procedure updates.
19) Interacts with Zoo visitors and zoo personnel courteously and offers proper attention at all times.

EDUCATION and/or EXPERIENCE: Associate’s degree (A.A.) or equivalent and one to two years office management experience. Familiarity with medical terminology and animal care is required.
TECHNOLOGY SKILLS: Must be proficient in ZIMS animal management medical records or similar software. Intermediate proficiency in Microsoft Word, Excel, PowerPoint and Access desired.
LANGUAGE SKILLS: Ability to read and interpret medical records and other documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
MATHEMATICAL SKILLS: Ability to calculate figures and amounts.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Salary Range: $18.67 – $22.44/hour (1/1/22)
